Therapy Service Administrator

We are looking for a discreet, proactive and experienced Administrator to:

  • ensure the smooth day-to-day running of a busy and growing IAPT counselling service through excellent administration and office management
  • work closely with and support the Head of Therapy Services, Team Co-ordinator and Evening Administrator to ensure effective management and organisation of the service.

This is a fast-paced and engaging role for an articulate candidate who has excellent attention to detail, the ability to effectively manage several tasks at once, and a desire to learn in the role. Duties are varied and include:

  • overseeing service management: welcoming visitors to the premises; handling client queries over email and telephone and ensuring messages are dealt with efficiently and in a timely manner; booking client appointments; handling correspondence for counsellors
  • developing, reviewing and maintaining effective information management systems within the counselling service including the office calendar, attendance records, and client waiting list with guidance from the Head of Therapy Services 2
  • managing and updating of database systems and clinical information as required
  • responding to enquiries, safeguarding communication pathways and managing the caseload on the database system.
  • Setting in place administrative systems and procedures, to keep them up accurate and up to date
  • assisting in the collection and registration of data for monitoring purposes and statistical reports
  • overseeing the work of office volunteers and temporary staff
  • assisting the Head of Therapy Services in the recruitment and induction of new staff
  • attending staff meetings, line management meetings and training where appropriate
  • performing any other ad hoc duties required to ensure the effective running of the service, as required by the Head of Therapy Services

Evening Therapy Service Administrator
